Maju Serviss KSA (www.ksa.lv) is a house management company, providing high level services for 7711 customers in 110 houses. As a customer oriented company, Māju Serviss KSA is providing individual services for each house and each customer such as regular house repairs, cleaning, heating, gas and water, greening etc. Company is growing rapidly and is planning to expand their customer base by 60% next year.

Situation


Māju Serviss KSA has been working many years with a DOS accounting system for billing water, gas and heat consumption by meters and other standard services. There has been also several spreadsheets and other separate information systems stored on local computers for emergency calls registration and regular house services. Future development according to customer's needs was not possible in this system.



Company managing director Baiba Pļaviņa (Baiba Pļaviņa) admits: «With several separate systems we could not get quick financial statements. We had to wait until the middle of next month to get financial analysis reports and make operative planning for the future months. Besides, it was highly time consuming for our employees to find latest debtors information or control emergency requests performance.»



Choosing Enterprise by HansaWorld

Miss Pļaviņa explains: «Enterprise was able to demonstrate being not only a powerful financial system, but it also had many management functions that we needed – time management with calendar, document management and CRM in the same system. Several local software in the market offer vertical solutions for house management companies, but it includes only billing system, separate form accounts and CRM.

System implementation began at the beginning of 2006 and first invoices was produced from the live system in June. Billing is very complicated for house management companies. It includes monthly gas, water and heating meters counting, calculating of average consumptions, recalculations for previous months, several VAT rates etc. HansaWorld Business Partner - Bakkers Business Solutions has made a special customization for billing system. Miss Pļaviņa says: “Bakkers Business Solutions is a strong partner to rely on. We have done a big job together developing the necessary customization and their specialists were quick and always available for us.”

We have connected 2 of our branches into single real-time system ,”- Miss Pļaviņa comments. “It is now possible to create house cost estimates and control each house profitability that is crucial for our business,” - she continues.

Complicated invoice information now is made easy and understandable for customers.

Better control of documents using document management.

All incoming documents and requests are being scanned and archived in Enterprise Conferences system. This ensures better control over replies and keeps a good customer history.

Debt controllers.

Based on real time payment information debt controllers can now start early to deal with late payments, improving liquidity and saving court issues.

Better customer service.

With real-time request and status registration it's easy to provide good customer service in time and control workers efficiency.

Improved planning.

Based on registered history of house repairs and accumulated reserves we are able to make much more precise recourse planning, purchasing and budgeting.

Plans for development

The customer together with business partner Bakkers Business Solution has great development plans. As the the first thing they are going to implement Web portal integrated with HansaWorld software where customers can register their monthly meter readings. That would save a great deal of manual work for the company and also make it more convenient for customers. Other new things to be implemented is electronic invoices, and customer service through the Web.
